These terms were established to deliver you a smooth and pleasant experience with us through clear and fair procedures for everyone involved.
Booking and Payment
Booking confirmation requires you to submit a legitimate passport scan and complete the booking application. Each reservation requires a 25% non-refundable payment of the total trip expenses which becomes due upon booking. The amount remaining will be due at least fourteen days before leaving for the trip. Customers can choose from bank transfers and online payment gateways and they can also pay in cash during their arrival.
The entire payment amount must be sent right away upon last-minute bookings (made within 10 days of departure) in order to obtain your spot. Your booking gets automatically canceled if you fail to submit the required payments according to their due dates. Booking confirmations will expire until the receipt of your deposit payment or booking payment if made after a last-minute reservation.
Cancellation and Refund Policy
Our company recognizes that situations demand unexpected changes in plans. A written notification to us will be needed before you can cancel your reservation. The termination procedure consists of the following terms:
- The cancellation policy offers full refunds except for deposit costs when customers notify at least 30 days prior to departure.
- Funds will be returned in the amount of 50% from one month to two weeks before departure dates.
- Bookings canceled in the period prior to departure yet after 15 days or fewer will receive no refund payments.
The policy refuses to provide any refunds for services that stay unused or for either early departures or voluntary trip withdrawals. Travel insurance acts as a vital protection for travelers so we strongly advise them to buy suitable coverage.
Travel Insurance
Each traveler participating in trekking activities must obtain travel insurance with benefits for medical needs evacuations as well as trip cancellation and accident protection. Trekkers need travel insurance when trekking in distant locations because remote areas present health hazards along with injuries.
Travelers must bear any expenses related to insufficient travel insurance because Adventure Walkway takes no responsibility for insurance coverage during trips. You must verify that your insurance plan matches the destination you want to trek.
Health and Safety
Safety and health of customers rank as our top organizational priorities. The physical difficulties which trekking involves together with built-in dangers form an essential part of the activity. You need to ensure proper physical condition before starting any trek planned for you. A consultation with your doctor is necessary for people with active medical conditions before starting your trekking adventure.
High-altitude trekking demands high vigilance about altitude sickness since the condition impersonates everyone without considering their fitness level. The trained guides monitor altitude sickness symptoms but trek participants need to think about their rest and hydration habits independently for safety reasons.
Itinerary Changes and Delays
The unpredictable nature of remote trekking demands that we maintain adherence to our planned schedule although unexpected events can occur. Factors including weather conditions, political instability alongside road closures and health-related issues can produce unavoidable changes and delays.
The duty of Adventure Walkway is to alter routes along with schedules or accommodations if required and also provide notifications about these changes with promptness.
Additional expenses resulting from itinerary changes will be paid by travelers for changes affecting accommodation services and transport fees and guide fees and other travel-related costs. While making sure the inconvenience remains to a minimum we require travelers to expect possible modifications during their trip.
Force Majeure
Force majeure events will not result in Adventure Walkway being responsible for any cancellations or delays or trek modifications. The list of excluded circumstances includes natural disasters along with political disturbances and strikes and pandemics and any unforeseen events beyond Adventure Walkway’s control. When such unexpected events occur we will provide substitute options and trip rebooking but complete reimbursement can be impossible.
All travelers should acquire force majeure event coverage in their insurance packages that protect them from trip cancellation and delay impacts during their journey.
Travel Documents and Permits
Every trekker needs appropriate passports along with visas to visit Nepal. You must secure required trekking permits that allow you to explore different visited regions. To start the permit procedure Adventure Walkway requires your correct documentation but the ultimate responsibility rests on you to fulfill Nepalese government standards and regulations.
Travelers must handle all situations involving permits or documentation problems caused by inadequate or incorrect information provided by them. The lack of required documents with non-compliance to immigration laws will prevent you from joining the trekking route with no option for a refund.
Code of Conduct
All trekkers must follow responsible behavior and practice respect towards local customs along with cultural traditions. The trekking group will not accept any disruptive actions nor accept harassment toward guides porters or fellow travelers or permit violations of local laws. The Adventure Walkway team retains the right to evict any person from their trek when they fail to maintain respect for the code of conduct. The lack of a refund policy applies in these situations.
Our team urges each trekker to show appreciation for nature, wildlife and people living in local territories.
Liability and Limitations
Adventure Walkway exists to deliver outstanding trekking services to all its clients. Adventure Walkway remains exempt from any responsibility for losses and thefts as well as injuries and property damage that happen on the trek. Your acceptance of risks while trekking stems from your booking choice which also mandates that you bear all accountability for incidents that can happen.
For conducting treks safely we suggest travelers to protect their belongings and listen to guides when they direct them to reduce potential hazards.
Governing Law
These Terms along with their conditions fall under the jurisdiction of Nepalese law. All issues related to booking terms and cancellation along with trekking service execution will be resolved with Kathmandu as the principal judicial authority of Nepal.
